Dear Colleagues,
We are pleased to announce enhancements to the Closeout Packet Status Report on the ORA Online Resource Center: Department Dashboard. These enhancements will provide improved visibility into the closeout packet submission status to EFM. As a reminder, the Closeout Packet Status Report allows users to search for the closeout packet status by organization hierarchy, sponsor type, closeout packet due date, and more. The closeout packets are categorized into one of six statuses:
| Status | Description |
| Submitted On-Time | Closeout packet has been submitted to EFM on (11:59 pm) or before the “Due to EFM” date. |
| Submitted Late | Closeout packet has been submitted to EFM after the “Due to EFM” date. |
| Not Submitted (EFM Started) | Closeout packet was not submitted to EFM, and the closeout packet has been retrieved by EFM. |
| Not Submitted | Closeout packet has not been submitted to EFM or retrieved by EFM. |
| Not Submitted (Pending NCE/CONT) | Closeout packet has not been submitted to EFM because the fund is not ready to be closed. The department notified EFM that the award will receive continuation funds or a no-cost extension, which can be pending the sponsor’s approval, or these documents have been received, but are pending award processing. Closeout cannot be completed until the award action is processed. |
| Not Submitted (EFM Rejected) | EFM has rejected the closeout packet back to department for additional action. |
The report now includes the following enhancements:
- Changes to how on-time submission is determined once EFM has retrieved a closeout packet.
- Previously, if a closeout packet was retrieved by EFM, rejected back to the department, and then subsequently submitted by the department on-time, the closeout packet status remained as “Not Submitted (EFM Started)”. The logic has now been corrected to display the closeout packet status as “Submitted On-Time” for this type of scenario.
- Two new closeout packet statuses:
- Not Submitted (Pending NCE/CONT)
- Not Submitted (EFM Rejected)
