Dear Colleagues,
We are three weeks away from the January 28, 2025 effort report certification deadline for spring and summer 2024 reporting periods. Please address outstanding effort reports now.
| Reporting Period | Non-Academics & 11/12 Academics | 9/12 Academics | Certification Rate |
| Spring 2024 | April 2024 – June 2024 | March 2024 – June 2024 | 26% |
| Summer 2024 | July 2024 – September 2024 | June 2024 – September 2024 | 26% |
As of today, approximately 26% of the reports released during this period have been certified. To be compliant with federal regulation and university effort reporting certification requirements, please review and work with the Principal Investigators (PIs) to certify open effort reports by the due date. Incomplete or incorrect effort reporting is a compliance violation that may result in audit findings, potential disallowances, and/or the withholding of federal research funding. If your department has any outstanding effort reports from previous releases, please complete certifications in ERS as soon as possible.
General Reminders
- Principal Investigators (PIs) must self-certify their own effort reports.
- Non-PI effort reports can be certified by either the PI, the employee, or an authorized certifier with first-hand knowledge of the employee’s effort.
- Refer to the ERS FAQs for helpful information about effort reports.
Cost Share Reminder
- Committed cost sharing must be included in effort reports when applicable.
- As shared at the December 2024 Research Administration Forum (RAF), committed cost share in ERS will be incorporated in the calculation for the next Indirect Cost Rate (IDC) Proposal.
- Review and add mandatory and voluntary committed cost share in effort reports and work with PIs to certify these reports timely.
We appreciate your cooperation and prompt attention to this matter. If you have any questions or need assistance, please do not hesitate to contact ERS Support at ershelp@research.ucla.edu.
