Dear Colleagues,
In observance of the UCLA Winter Holiday Closure, Extramural Fund Management will close at 5:00 PM, Tuesday, December 23, 2025, and will reopen at 8:00 AM on Monday, January 5, 2026.
This email is to communicate important deadlines, affected by the Winter Closure, for the Closeout Packets and for high-risk payroll and non-payroll cost transfers that require EFM’s approval.
Closeout packets

| COPs due in December 2025 for the final invoice or the final financial reports due by January 11, 2026 | Submit a COP to EFM by Friday, December 5, 2025. |
| COPs due in December 2025 for the final invoice or the final financial reports due after January 11, 2026 | No change to the due dates |
COP due dates are available in the PAMS Department worklist. When a closeout packet is not submitted to EFM by due date, EFM will apply the standard procedures in preparing the final invoice and/or final financial reports.
High risk cost transfers
| Cost transfer type | Due dates |
| Payroll cost transfers | Submit to EFM by Monday, December 8, 2025. This deadline takes into account the UCPath Center’s Salary Cost Transfer Processing schedule. EFM must approve SCT by Thursday, December 18, 2025 to record them in the December ledger. |
| Non-payroll cost transfers | Submit to EFM by Friday, December 12, 2025. |
High risk payroll and non-payroll cost transfers submitted after the due dates will be reviewed by EFM beginning January 5, 2026.
